Job Description
The assistant to the EVP Global Human Resources, and partner to the Chief of Staff (COS) is connected to the Global Human Resources Leadership Team (GHRLT) through their administrative support. This role may provide direction to the GHRLT administrative support, if required. Efficiently supports the office of the EVP, and is a liaison to numerous departments, enterprise-wide, to provide a seamless day-to-day completion of tasks. Individual must be able to maintain confidentiality, work independently, demonstrate good judgement, self-discipline, and function effectively with minimal direction. Organizational experience and utmost professionalism is required for this position as well as excellent verbal, written, and interpersonal communication skills.
Responsibilities
Responsible for complete calendar management for the EVP Global Human Resources.
Ability to handle highly-confidential material/correspondence that involves senior management, company-wide, including, but not limited to: company financials, executive compensation, succession plans, attorney-client privilidged investigations/documents, and HR documents, etc.
Manages off-sites (domestic and global) in all aspects (concept to execution – travel required).
Drafts e-mails for the EVP, as well as Review and prioritize emails that are viewed as important to the CHRO.
Direct liaison to all HR-related Board of Director (BOD) meetings, working closely with the COS in preparing documents, supporting documents, and prep meetings.
Works closely with the Chairmans Office, and the EVP, to prepare the annual CEO Evaluation based on the BOD feedback.
Works closely with compensation team to maintain the annual fiscal compensation schedule/meetings.
Is a direct contact to The Family Office that need to be directed to the appropriate HR Business Partner for follow up.
Simultaneously work with the COS on external speaking engagements providing assistance in administrative support (scheduling, gift bags, follow-up).
Arranges detailed travel itineraries (domestic and global).
Follows up with any post-meeting tasks as required by the EVP or COS.
Seamless managing of administrative tasks (booking rooms, A/V, catering, etc.).
Sets up high level meetings with senior management that include several different time zones.
Ad-hoc tasks as requested (unplanned car service/hotel bookings, lunch, coffee, etc.).
